Why you should back up your Google reviews

If your business has Google reviews, give yourself a pat on the back - you've clearly been doing something right. Those reviews are gold: they influence buying decisions, boost your local search ranking, and often serve as the very first impression a potential customer has of you.

Now here's the bit nobody really likes hearing...

Google reviews are not guaranteed to stay there forever.

They can be filtered, hidden, or removed without warning. Google's own Maps Trust and Safety report confirms it blocked or removed more than 240 million policy-violating reviews in 2024 alone, and that number climbed again in 2025. Even reviews that passed Google's checks in previous years are being retroactively removed as the moderation systems evolve.

The good news? You can protect yourself. It starts with backing up your reviews properly.

Can Google reviews actually disappear?

Yes. Absolutely, 100%, yes.

Reviews can go missing for all sorts of reasons, including:

  • automated spam filtering - Google's AI flags reviews that match suspicious patterns, even legitimate ones
  • policy enforcement - anything that falls foul of Google's content guidelines
  • reviewer account deletion or suspension
  • profile changes, merges, or reinstatements
  • algorithmic quality filters - updated regularly and applied retroactively
  • technical bugs and display glitches - which hit on a significant scale in February 2025, October–November 2025, and again in February 2026

If you've ever noticed your recent reviews not showing up, we covered the technical side of this in our piece on why your Google Business Profile isn't displaying recent reviews - worth bookmarking.

The troubling part is that many of the reviews being removed aren't fake or spammy. They're genuine feedback from real customers - caught in the crossfire of increasingly aggressive automated moderation.

And when businesses contact Google support about missing reviews? The very first question they're asked is:

"Do you have the details of the missing review?"

Most businesses don't.

Why backing up your Google reviews matters

Think about how long it takes to build a strong review profile. Months. Years. Dozens of happy customers actually following through and leaving feedback. That's not something you can recreate overnight.

Our piece on why online reviews matter more than ever in 2026 explains exactly how much weight reviews now carry - not just for reputation, but for local search rankings and increasingly for AI-powered results too.

Protecting that data isn't just sensible housekeeping. It's protecting a core business asset.

Backing up your reviews gives you:

  • Evidence for Google Support: having a proper backup with full review data makes support requests far more straightforward.
  • Reputation protection: your review history is a trust signal. Losing part of it - even temporarily - can hurt your credibility and cost you enquiries.
  • Marketing and content: saved reviews can be repurposed in testimonials, case studies, social media posts, and website content.
  • Reputation analytics: archived review data lets you track sentiment trends over time and report on performance meaningfully.

What information should you save from each review?

A screenshot is better than nothing, but it's not useful when making a case to Google support. You want structured data for every review.

  • Review ID - a unique identifier used within Google's internal systems. This is the single most useful piece of information if you ever need to raise a support request.
  • reviewer name and profile link
  • review text
  • star rating
  • review timestamp
  • review URL

The Review ID is accessible via the Google Business Profile API. Most businesses have never heard of it, let alone saved it.

But providing the Review ID when contacting support significantly increases the chance of Google being able to locate and reinstate a missing review.

Why most businesses don't have proper review backups

Because Google doesn't make it easy. Google Business Profile doesn't offer a simple built-in export tool for structured review data.

There are ways to access it - Google Takeout, the API, third-party tools - but they all require technical know-how or manual effort most business owners simply don't have time for.

And then Google removes 240 million reviews in a single year, and suddenly that assumption looks a bit shaky.

Why Estate Apps built review backups into our GBP integration

We built automated review archiving directly into our Google Business Profile integration because agents shouldn't have to worry about this on top of everything else on their plate.

When enabled, review data is automatically captured and stored as structured data - Review ID, star rating, review text, reviewer name, timestamp and review link - creating a secure archive of your full review history.

So if reviews ever disappear, you have everything you need to raise a proper support request. No scrambling for screenshots. No starting from scratch. Just structured evidence, ready when you need it.

Quick tip: don't wait until reviews disappear

The best time to set up a review backup is before you need one. Once a review has been hard-deleted by Google, it's gone - there's no guarantee of recovery even with the Review ID. The earlier you have a backup in place, the better your options.

Reviews are valuable data. Start treating them that way.

Estate agents know how hard it is to build a strong review profile. Your reviews don't just reflect your service - they directly influence whether a vendor or landlord picks up the phone or clicks away to the next agent.

It's also worth understanding how anonymous Google reviews are changing things - Google's shift toward display names rather than real names has created new considerations for both review collection and verification.

Backing up your reviews ensures you retain control of that data regardless of what Google's algorithms decide next. See how Estate Apps clients have built their reputations over time - and make sure yours is properly protected.
